A complete first submission reduces repeated questions and helps separate a possible covered failure from installation, utility, wear, maintenance, damage, misuse, or another cause.

Preserve the evidence

Save alarm screens, labels, photos, video, logs, packaging, and the suspected failed component. Do not discard or return it without instruction.

Record the timeline

Document when the symptom began, what the machine was doing, recent service or parameter changes, and what happened immediately before the event.

Stop unsafe operation

Do not bypass interlocks, guards, lockout/tagout, or manufacturer instructions. Use qualified personnel for safety-critical work.

Submitting a claim begins a review; it does not itself confirm coverage, reimbursement, replacement, labor, freight, travel, or downtime.

Confirm model, serial number, configuration, buyer, location, and applicable documents.

Evidence review

Review alarms, photos, video, sequence, maintenance, utilities, and recent changes.

Cause classification

Separate component failure from wear, damage, environment, installation, or operation.

Authorized diagnosis

Complete only safe, written checks or disassembly steps approved for the claim.

Receive the coverage position and approved parts, repair, return, or paid-service path.

Required claim information

Send the machine identity and the full event record

Do not send only “it stopped working.” The review needs enough information to understand the exact machine, conditions, sequence, and requested resolution.

  • Buyer, company, contact, and machine location
  • Manufacturer, model, serial number, and controller
  • Purchase, delivery, installation, and startup dates
  • Full alarm text, code, screen photo, and timestamp
  • Safe photos or video of the symptom and labels
  • Operating sequence immediately before the event
  • Recent repair, impact, move, utility, or parameter change
  • Maintenance history and relevant service records
  • Power, air, gas, cooling, exhaust, and environment
  • Suspected part identity and requested next step

What a claim does not prove

Submission is the start of review—not automatic approval

Coverage depends on the warranty that applies to the specific machine and the documented cause of the failure.

Coverage is not automatic

A machine being within a date period does not by itself establish that the reported failure, labor, travel, freight, or related loss is covered.

A replacement is not pre-authorized

Buying, installing, repairing, disassembling, or returning a part before written approval may affect the available claim path.

Downtime is not automatically reimbursed

Lost production, rental, labor, utilities, express freight, and consequential costs are governed by the applicable written agreements and law.

Diagnosis may change the route

Evidence may point to maintenance, utilities, installation, consumables, wear, damage, operating conditions, or paid service instead of warranty.

Third-party work needs review

Do not assume outside labor, travel, contractors, or local purchases will be reimbursed without written authorization.

Supplier terms may apply

Laser sources, heads, chillers, controls, drives, and other components may have separate supplier procedures, evidence requirements, or exclusions.

Control every replacement and return

Incorrect or unauthorized shipments can delay the claim and create freight, compatibility, or evidence problems.

Before removing or shipping a part

  • Obtain written diagnostic or replacement authorization.
  • Confirm the exact part number, revision, connectors, ratings, and machine serial.
  • Photograph labels, wiring, settings, orientation, and packaging.
  • Preserve the failed part and all accessories requested for evaluation.
  • Use the issued RMA, destination, carrier, and packaging instructions.
  • Keep tracking, delivery proof, receipts, and shipment photos.

Questions to resolve before action

When in doubt, preserve the state of the machine and request a written instruction.

Does submitting a warranty claim mean it is approved?

No. Submission starts a review. Coverage is determined from the applicable warranty, machine identity, dates, evidence, cause, maintenance, conditions, exclusions, and required authorizations.

Can I replace the part now and request reimbursement later?

Do not assume reimbursement. Obtain written approval before purchasing, replacing, repairing, disassembling, or hiring third-party labor if you want the expense considered in the claim.

Should I return the failed component immediately?

No. Preserve it and wait for written return instructions, including RMA identification, destination, packaging, carrier, and required accessories or documents.

What if the machine is unsafe to operate?

Stop work and follow site emergency and energy-isolation procedures. Safety takes priority over evidence collection. Do not bypass safety systems or recreate the event.

Can labor, travel, freight, or downtime be covered?

Only when the applicable written warranty or approved claim determination says so. These costs should never be assumed from parts coverage alone.
